Workday HCM and enterprise applications

Start with the suite

Workday Human Capital Management and the Workday suite

Workday is a cloud suite for human capital management, financial management, planning and spend. It runs as customer-specific tenants on a multi-tenant platform, with two feature releases a year. Workday reports more than 11,500 customers and over 65% of the Fortune 500 (Workday Form 10-K, fiscal 2026).

This page is for CHROs, CFOs and CIOs evaluating Workday for a multi-country organization. It explains what Workday Human Capital Management covers, what the rest of the suite adds, and what to settle before a decision. VISCAP helps leadership teams structure that evaluation: requirements, payroll and statutory needs, readiness and change planning.

One suite, two adoption paths

The first scope decision is whether to take Workday HCM on its own or HCM and Financial Management together. Both are common, and the choice shapes everything that follows.

HCM first

Workday Human Capital Management replaces the HR, talent and, where offered, payroll systems, while finance stays where it is. It suits organizations whose most urgent problem is people data, global HR processes or employee experience. The cost is a lasting interface between Workday and the finance system for cost centres, payroll postings and headcount budgets.

HCM with Financial Management

Workday HCM and Workday Financial Management share one data model, so workforce costs, projects and headcount plans sit in the same system as the ledger. It suits organizations replacing finance at the same time, or those whose planning depends on combining people and financial data. The cost is a larger programme and a finance migration running alongside the HR one.

Shaping the direction — examine

  • Current HR, payroll and finance systems, and their contract end dates
  • Countries, legal entities and the payroll engine each one needs
  • How workforce planning and budgeting work today, and who owns them
  • Integration dependencies: identity, time capture, benefits providers, banks
  • Internal capacity to run one programme or two

Workday Human Capital Management capabilities

Workday HCM is organized into human resource management, talent, workforce management, payroll, analytics and the extended workforce. Each area below states what it covers and the question a leadership team should settle first.

An HR conversation in an office

Human Resource Management

Human Resource Management is the employee system of record. It covers organization structures, positions and jobs, compensation, total benefits, HR service delivery, global compliance and pay transparency, all effective-dated on one employee record. The question to settle: how many legal entities and countries will share one tenant, and which local rules must be configured rather than assumed.

A candidate meeting an HR professional

Talent Management and Talent Acquisition

This area runs the talent lifecycle from hire to succession. Talent Acquisition covers recruiting, AI-assisted candidate matching and, since Workday’s 2025 acquisition, the Paradox conversational applicant tracking system for high-volume frontline hiring. Talent Management covers onboarding, Workday Learning, Powered by Sana, performance, careers and succession. Workday Skills Cloud, Workday’s skills ontology, links them. The question to settle: which existing recruiting, learning and assessment tools stay, and who governs the skills data.

Colleagues in a workplace training session

Workforce Management

Workforce Management covers time and attendance, absence management, and scheduling and labour optimization for hourly and shift-based workforces. The question to settle: time rules by country, union agreement and site, and whether time is captured in Workday or in a plant or store system.

Payroll planning with a laptop and calculator

Payroll and global payroll

Workday Payroll is native in the United States, Canada, the United Kingdom, Ireland, France and Australia. Elsewhere, Workday connects to local payroll providers through Global Payroll Connect, its certified connector set for third-party payroll, or offers Workday Payroll provided by Strada. For workforces in India, the Gulf or Africa, this is usually the decisive design question.

Statutory payroll in those countries stays with a local engine. That means provident fund, ESI and tax deduction in India; GOSI and wage protection filing in the Gulf; PAYE and pension in Nigeria; NSSF and SHIF in Kenya. Each engine has to be connected and reconciled every pay period. The question to settle: which provider runs each country, and who owns reconciliation.

Two colleagues discussing workplace priorities

Employee experience

Workday Help and Journeys handle HR service requests and life events. Workday Peakon Employee Voice measures engagement. Sana, Workday’s AI experience, is now the Workday home page and the front door for self-service. The question to settle: who owns the knowledge content behind self-service, and which requests still go to people.

A team reviewing business information

People analytics and workforce planning

People Analytics surfaces workforce insights from Workday data. Workforce planning runs in Adaptive from Workday, and Decision Intelligence for HR, released in October 2026, supports scenario-based workforce decisions. The question to settle: which workforce measures need cost and budget data, and where that data lives.

Extended workforce

Workday VNDLY is a vendor management system for contingent workers, contractors and statements of work. The question to settle: whether contingent labour is significant enough to manage in the same system as employees.

Workday finance, planning and spend

Beyond HR, Workday covers finance, planning and procurement on the same platform. These are the products an HCM buyer is most likely to meet next.

01

Workday Financial Management

Workday Financial Management covers accounting, the Accounting Center, close and consolidation, revenue management, projects, grants, and audit and internal controls. Its value in an HCM-led evaluation is the shared data model: labour costs, headcount and projects sit next to the ledger without an interface.

02

Adaptive from Workday

Adaptive from Workday (formerly Workday Adaptive Planning) handles financial, operational and workforce planning. Workday renamed it in September 2026 and added Decision Intelligence for scenario-based decisions. It also runs alongside finance systems other than Workday, so it can be adopted on its own.

03

Workday Spend Management

Workday Spend Management covers procure-to-pay, inventory, strategic sourcing, supplier management, and travel and expenses. It is usually adopted with or after Financial Management rather than with HCM alone.

Workday also offers Workday Student, Professional Services Automation and Contract Intelligence for narrower audiences. They are outside the scope of this page.

Workday analytics, platform and AI

The platform layer determines how Workday connects to other systems, how it is extended and how AI is governed in it.

Colleagues reviewing information together

Analytics and data

Workday Prism Analytics brings external data into Workday for combined reporting. Workday Data Cloud extends it with live query access to Workday data. The question to settle: which reports need data from outside Workday, and where that join should happen.

Integration and extension

Workday Orchestrate is Workday’s low-code integration product for real-time and batch flows. Workday Studio, Enterprise Interface Builder (EIB), prebuilt connectors and public SOAP and REST APIs cover more complex integrations. Workday Extend and Extend AI (Agent & App Builder) are for building custom applications and agents on Workday data.

Sana and Workday agents

Workday delivers its AI through Sana and a set of named agents. The Agent System of Record is the registry that governs Workday, customer and partner agents. Availability as of October 2026:

Available now: Sana as the Workday home, enabled by administrators; Workday Learning, Powered by Sana; Decision Intelligence for HR and finance; the Agent System of Record (generally available since February 2026).

Self-service with Sana: generally available in Gemini Enterprise, with Microsoft Copilot, Teams, Slack and Claude following in late 2026.

Early access, general availability expected early 2027: the Talent Acquisition Agent and Sana Concierge.

Planned for early-adopter customers in early 2027: payroll, accounting and deployment Autopilot agents.

Plan around what is generally available on your release. Put agent governance, data readiness and human oversight in place before switching agents on.

How VISCAP supports a Workday evaluation

New Workday deployments are configured by Workday Professional Services or a certified Workday Services Partner. VISCAP is neither. VISCAP helps leadership teams prepare the decision, in four areas that do not depend on access to a Workday tenant.

Two professionals discussing requirements
  1. Requirements and process design

Current-state HR, payroll and finance processes; the requirements a Workday tenant would need to meet; and where standard processes can replace local variations. See Consulting.

  2. Payroll and statutory requirements

Country-by-country payroll and statutory obligations, and the choice between native Workday Payroll, a connected provider and an existing engine.

  3. Data readiness and business case

Data quality, ownership and history to be carried forward, and the inputs leadership needs for a business case and a partner selection.

  4. Change and adoption planning

Stakeholder impact, HR operating-model changes and the communication and training a Workday programme will need. See Training & Change Enablement.

What to check before a Workday decision

Six groups of questions. They are the same questions VISCAP asks in a first evaluation conversation.

Workforce footprint

Legal entities, countries, union and shift populations, and which need native payroll or a connected provider.

Scope

HCM alone or with Financial Management; which modules in phase one; what waits.

Data ownership and residency

Where the tenant will be hosted, what must stay in-country, and who owns data quality after go-live. Workday has offered hosting in India for new customers since December 2025.

Deployment and operating model

Who deploys, who runs integrations and releases afterwards, and how changes are governed.

Release cadence

How two feature releases a year (March and September) plus weekly updates will be tested, and who signs off.

Security and AI governance

Workday security groups and domains, identity provider integration, audit needs, and rules for which agents are switched on.

Frequently asked questions about Workday

No. New Workday deployments are configured by Workday Professional Services or a certified Workday Services Partner, and VISCAP is not a Workday partner. VISCAP supports the evaluation before that: requirements, payroll and statutory needs, data readiness, business-case inputs and change planning.

Human Resource Management, Talent Management and Talent Acquisition, Workforce Management, Payroll, analytics and reporting, and VNDLY for the extended workforce. Workday Skills Cloud runs across all of them, and Sana provides the AI experience.

The United States, Canada, the United Kingdom, Ireland, France and Australia. Other countries connect to local payroll providers through Global Payroll Connect, or use Workday Payroll provided by Strada.

Together suits organizations replacing finance at the same time, or whose planning depends on combining people and financial data. HCM first suits those whose priority is HR, and costs a lasting interface to the existing finance system.

A firm admitted to Workday’s partner programme to deploy Workday, provide application management or supply certified staff. Workday Professional Services also deploys directly. Workday offers Launch Express for smaller organizations and Launch Flex for global programmes.

Workday ships two feature releases a year, in March and September, plus weekly updates. Each feature release needs regression testing of configuration, integrations, security and reports before it reaches production.

As of October 2026: Sana as the Workday home, Workday Learning, Powered by Sana, Decision Intelligence for HR and finance, and the Agent System of Record. The Talent Acquisition Agent and Sana Concierge are in early access, and the Autopilot agents are planned for 2027.
